Custom CRM or HubSpot, Zoho and Salesforce? An honest comparison
Off-the-shelf CRMs are quick to start and costly to bend. What HubSpot, Zoho and Salesforce cost in 2026, and when a custom CRM is the better buy.

- Per user, per month, across the three big CRMs

- 27%
- A custom CRM, with no per-user fee
- From AED 25,000
Key points
- HubSpot, Zoho and Salesforce charge per user, per month, for as long as you use them. A custom CRM is paid for once, plus a small monthly care fee.
- Off-the-shelf is the right choice when your sales process is standard and you need something working this week.
- Custom is the better buy when your process does not fit the template, when your team is growing, or when sales and operations need to share one system.
- A custom CRM is never finished on launch day. We keep refining it with you once real work is running through it.
An off-the-shelf CRM such as HubSpot, Zoho or Salesforce is the right choice when your sales process is standard and you need something working this week. A custom CRM is the better buy when your process does not fit their template, when your team is growing, or when sales and operations need to live in the same system.
At Brnded17 we build custom CRMs, so you know where we stand. But the comparison only helps you if it is honest, so this article gives the real 2026 prices and says plainly where the big platforms win.
What HubSpot, Zoho and Salesforce cost in 2026
All three charge per user, per month. These are the prices on each vendor’s own pricing page on 5 October 2026.
| CRM | Plan | Price per user, per month |
|---|---|---|
| Zoho CRM | Standard | AED 51 |
| Zoho CRM | Professional | AED 84 |
| Zoho CRM | Enterprise | AED 146 |
| Zoho CRM | Ultimate | AED 190 |
| HubSpot Sales Hub | Starter | USD 7 to 20 |
| HubSpot Sales Hub | Professional | USD 90 to 100, plus a required USD 1,500 onboarding fee |
| HubSpot Sales Hub | Enterprise | from USD 150, plus a required USD 3,500 onboarding fee |
| Salesforce Sales Cloud | Starter Suite | USD 25 |
| Salesforce Sales Cloud | Pro Suite | USD 100 |
| Salesforce Sales Cloud | Core | USD 195 |
| Salesforce Sales Cloud | Advanced | USD 395 |
| Salesforce Sales Cloud | Max | USD 550 |
Zoho’s prices are for annual billing and exclude tax. Paying monthly costs more. One US dollar is AED 3.6725, so Salesforce’s top plan works out at about AED 2,020 per user, per month.
The lowest plans look cheap, and they are. The catch is that the features growing teams ask for, such as automation, custom reports, approval steps and permissions, sit in the middle and upper plans.
The three-year cost for a real team
Licences are paid every month, forever, and they multiply with headcount. Here is what that adds up to over three years.
| Option | 10 users, 3 years | 25 users, 3 years |
|---|---|---|
| Zoho CRM Professional | AED 30,240 | AED 75,600 |
| Zoho CRM Enterprise | AED 52,560 | AED 131,400 |
| HubSpot Sales Hub Professional | about AED 124,500 | about AED 303,000 |
| Salesforce Pro Suite | about AED 132,200 | about AED 330,500 |
| Salesforce Sales Cloud Core | about AED 257,800 | about AED 644,500 |
| Custom CRM from Brnded17 | from AED 39,400 to 43,000 | The build may be larger, but there is no per-user fee |
Two honest notes on this table.
The platform figures are licences only. They leave out setup, data migration, paid add-ons and the consultants many teams hire to configure these tools, because those costs vary too much to state fairly.
The custom figure is our starting price of AED 25,000 plus three years of care and hosting at AED 400 to 500 a month. A bigger system costs more to build. What does not change is the shape of the cost: you pay to build it once, and adding your eleventh or fiftieth user costs nothing.
On raw price, Zoho wins for a small team with a simple pipeline. We say so to clients. The case for custom is rarely the licence fee alone.
Where off-the-shelf CRMs are the right answer
- Your process is ordinary. Lead, call, quote, close. The template was designed for exactly this.
- You need it now. You can sign up and import contacts in an afternoon.
- Your team is small and stable. Three people on a modest plan is hard to beat on cost.
- You want a huge ecosystem. Thousands of ready-made integrations and plenty of freelancers who know the tool.
If that describes you, use one. A CRM you start using today is worth more than a perfect one you are still planning.
Where they start to cost more than they save
The trouble begins when the business does not match the template.
- You bend your process to fit the software. Staff keep a spreadsheet alongside the CRM because the CRM cannot hold the thing that matters.
- You pay for features nobody uses. In a 2025 survey commissioned by the CRM vendor Insightly, only 27% of teams said they fully use their CRM, and most use less than half its features.
- Every new hire raises the bill. Growth is taxed per seat.
- The work after the sale lives elsewhere. Orders, stock, bookings and invoices sit in other tools, so customer information is typed twice. We cover this in CRM vs ERP.
- Your customers cannot see anything. A client portal or online booking means another product, another licence and another integration.
The warning sign is the spreadsheet next to the CRM. When your team keeps one, the CRM has stopped being the place where the truth lives.
What a custom CRM does that a packaged one cannot
A custom CRM is built around the way your team already sells and serves, using your words, your stages and your rules.
- It fits. The screens show the fields you need and nothing else. Training is short because the system matches the job.
- It covers the whole journey. Enquiry, quote, order, delivery and payment can share one record. The system we built for The Refined Luxury runs client records, quotes, servicing orders, subscriptions and resale in one place.
- Your customers can use it too. The same data can power a client portal or a booking system, as it does for The Refined Luxury’s members’ portal.
- It works the way the UAE works. WhatsApp at the centre, English and Arabic, dirhams and 5% VAT handled properly.
- It has no per-user fee. Give every member of staff a login without checking the price list.
- Your data stays yours. It sits in your own database, and the system changes when your business does, not when a vendor’s roadmap allows.
How we build one: closely, and in rounds
Tailor-made only works if the people building it understand the business. So the way we work matters as much as the code.
- We start with your day, not our software. We sit with the people who will use the system and write down how an enquiry really moves through the business, including the workarounds nobody admits to.
- You see it before it is built. Every screen is designed and agreed first, so changes cost minutes, not weeks.
- The first phase goes live early. It is the smallest version that is useful on its own. Real work starts running through it straight away.
- Then we keep going. This is the part that matters most. Once your team uses the system every day, we see what they skip, where they hesitate and what they wish it did. We refine it in rounds, with you, under a care plan for as long as it is in use.
A packaged CRM is finished when you buy it. A custom one is finished when it fits, and then it keeps being adjusted as you grow. We built The Refined Luxury’s system end to end, and we still maintain and improve it today.
A two-minute test
Answer yes or no.
- Does your team keep a spreadsheet or WhatsApp group alongside the CRM?
- Will you have more than ten users within two years?
- Do orders, bookings or invoices live in a different system from your customers?
- Do you need customers to log in, book or pay online?
- Are you paying for a plan mainly to unlock one or two features?
Two or more yeses, and a custom CRM deserves a proper quote. None, and an off-the-shelf CRM is probably all you need.
Either way, Brnded17 will give you a straight answer. We build custom CRMs in Dubai and across the UAE, quoted at a fixed price after a discovery call, and we will tell you if you do not need one.
